Destination Wedding Groups
Contracted Group
A contracted group is recommended for larger weddings (15 + rooms) OR when you have chosen a hotel or resort that is known to sell out of a certain room type or category that you like. With this type of group, your travel designer will “block” off a number of rooms (which takes them out of the hotels inventory to sell) and the hotel will promise not to sell those rooms.
The hotel or resort will also set these rooms at a competitive price solely for your group. In exchange for not selling those rooms, you will put down a deposit (usually $100 per room) to take the rooms out of inventory and hold them for your group at one set price. They are promising NOT to sell those rooms until your group has had a chance to book by a certain date (that they set) at your special price.
For example, if you contract 20 rooms, you’d pay $2000 to the hotel to take the 20 rooms out of inventory for your group. The $2000 sits in a “bank” at group level and can be refunded to you at the end of the process OR you can use it to apply to the balance of your own room.
The hotel or resort may agree to sell the rooms to you at $450 per night for example as long as you can fill the rooms in your contract by a certain date. Any unsold rooms in your group block can be given back before or on a certain date with no penalty under terms as stated in your contract.
You will earn comps and credits on your group as long as ALL guests book under the same agent, agency, and contracted group—meaning all guests have to book through Your Travel Designer at BeachDest.com (LTW Travel) under the supplier that we use.
Flexible Group
A Flexible Group is a group type that we recommend for weddings that will have 10 rooms or less total. With this type of group there are NO large deposit is required and no rooms are blocked off for your guests. Your travel designer will request a special group code that will link each room together to count as part of your group. Guests can book whenever they want, but they are subject to the cost of rooms and inventory available when they book. You still qualify for all comps and credits BUT your guests HAVE to book under the same agent, agency, and group code for the rooms to count under your group. You will earn comps and credits on your group as long as ALL guests book under the same agent, agency, and contracted group—meaning all guests have to book through Your Travel Designer at BeachDest.com (LTW Travel) under the supplier that we use.
